How Beatax collects, uses and protects your personal information.

This policy explains how Beatax ("we", "us") uses your personal information when you use beatax.co.uk or become a client. We are the data controller for this information.

Who we are

What we collect

  • Contact and enquiry forms: your name, email, phone number and message.
  • Signing up: your name, email, phone, password (stored scrambled, never readable), business details, the services you choose and your quote.
  • Booking a call: your name, email, phone, the time you chose, the topic and any notes.
  • Live chat: the messages you type and the details you give us.
  • Deadline reminders: your email, name and the deadlines you want reminders for.
  • Referrals: your details and the details of the person you refer.
  • Clients: the financial and tax information we need to provide our services, and identity checks required by anti-money laundering law.
  • Technical: your IP address and basic browser information in our server logs, used for security.

How we use it and why

  • To reply to you and provide the services you ask for โ€” to take steps before entering a contract with you, or to perform that contract.
  • To meet our legal duties, such as anti-money laundering checks, keeping tax records and dealing with HMRC โ€” legal obligation.
  • To send deadline reminders you have asked for โ€” your consent, which you can withdraw at any time with the unsubscribe link in every email.
  • To contact someone you refer to us, once, about our services โ€” our legitimate interest in responding to a referral. We do not add them to any mailing list.
  • To keep our website secure and prevent fraud โ€” legitimate interests.

We do not sell your information, and we do not use it for advertising.

Who we share it with

  • HMRC, Companies House and other authorities, when we act for you or the law requires it.
  • Our IT and hosting providers, who store and process data for us under contract.
  • Anthropic, which provides the AI that writes the automatic replies in our live chat. Please don't type sensitive information such as bank details into the chat.
  • Professional advisers and regulators, where needed.

Some of these providers may process data outside the UK. Where they do, we rely on safeguards approved under UK data protection law.

How long we keep it

  • Enquiries, bookings and chats that don't lead to work: up to 2 years.
  • Client records: for as long as you are a client, then at least 5 years as anti-money laundering law requires, and up to 6 years for tax records.
  • Reminder subscriptions: until you unsubscribe.

Cookies

We only use what the website needs to work:

  • A session cookie that keeps you signed in and protects our forms (deleted when you close your browser).
  • Settings saved in your browser, such as your light or dark theme choice and your chat conversation.

We do not use advertising or tracking cookies, so we don't need to ask for cookie consent.

Your rights

You can ask to see, correct or delete your information, ask us to stop or limit using it, object to how we use it, or ask for a copy to take elsewhere. Email info@beatax.co.uk. We'll reply within one month.

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
